OBJECTIVE:

Validate current print fleet, decrease cost and effectively improve the service program as a foundation of a developing organization.

OUR SOLUTION:

Develop a prevailing holistic HP print fix for each Sylvanvale location to automate process steps to assure every user has an ideal experience with peak uptime.

RESULT:

Improved cost effectiveness, abate waste, and a comprehensive view of the fleet bolstered by a managed print service.

FUNDAMENTAL BACKGROUND FOR THE CUSTOMER:

Established in 1947, Sylvanvale Foundation presently supports approximately 750 children and adults, who are disabled in and around the Sydney metropolitan area, including the Blue Mountains. The foundation’s aim is to help these individuals to live and thrive within their community as independently as they possibly can.

CHALLENGE:

Sylvanvale’s objective is to develop a partnership with a print technology company that can supply resources for and supervise an entrenched mixed fleet of printers at all 37 sites that also includes Kirrawee Head Office. The complications that arose from the current printer fleet were a direct result of scattered management and the acquiring of their printers.

The main cause of this turned out to be that Sylvanvale’s staff were mostly occupied with shopping for consumables, services, and hardware as opposed to putting their major efforts into the core business activity of disabled support services. In turn, printing costs skyrocketed because there was no transparency, little organization of activities, and inconsistent management. Finding a “one-stop” economical Managed Print Solution was vital to their program for future technological progress to take place.

SOLUTION:

Print fleet audit – Sylvanvale engaged AMPS Technology for auditing services to identify and probe each print device within the company. This process is comprised of analyising of the age of the hardware and configurations costs, the spectrum of printing, security, utilisation, and the whole end-user experience. The results of the audit are through data collated via our ampsConnect software portal.

Print fleet merger

The report submitted to the executive committee was comprehensive, including cost analysis and a recommendation entitled “Future State Solution” that outlined a turn-key solution comprising several key business outcomes that were beyond what Sylvanvale expected and included the following:

• 25% in cost reduction (monthly)

• A reduction to 3 current models from 26

• An additional 16 HP PageWide printers

• Valet Service for HQ on a monthly basis

• 30-day billing for the fleet of machines

• A basic cost per page

• Re-deployment of some printers
